Event Services – Terms & Conditions
Thank you for trusting us to manage your event. Our goal is to make your celebration seamless, stress-free, and memorable. To ensure transparency and professionalism, please review the following terms. By booking with us, you agree to these policies.
Part A: Company Policies
1. Scope of Services
We provide décor setup, event planning, and event management, along with coordination of catering, entertainment, hosting, and vendor services.

Décor Setup – Styling and arranging décor (tables, chairs, backdrops, centerpieces, etc.) according to the agreed theme.

Event Planning – Pre-event work such as budgeting, vendor sourcing, timelines, and design concepts.

Event Management – Day-of coordination, ensuring all vendors arrive on time, schedules are followed, and the event runs smoothly.
2. Payments

A non-refundable booking fee is required to secures your date. This covers initial planning and coordination. Until this fee is paid, no design work or vendor bookings will be done.

After the booking fee, a deposit (based on timeline) is required once your quote is approved. The balance is due no later than 14 days before your event.

A 10% refundable security deposit (based on the total cost) is collected to cover damages. It will be refunded after the event if no issues occur.

Events must be booked at least 6-8 weeks in advance. Last-minute requests are subject to availability and rush fees.
Refund & Rescheduling Policy:

All payments are non-refundable once planning or purchases have begun.
-
If cancellation occurs more than 30 days before the event, payments (excluding the booking fee) may be credited toward a future event within 6 months, subject to availability.

Cancellations made within 30 days of the event forfeit all payments.
⚠️ Services will not proceed if payments are incomplete.
3. Client Responsibilities

The client must provide all event details in a timely manner. Last-minute changes may incur additional fees.

For client-sourced venues, a mandatory walk-through must be scheduled.
-
The client must ensure adequate setup and breakdown time, and secure access for our team.
-
If venue access is delayed or denied through no fault of our company, services may be reduced or cancelled without refund.
4. Event Duration & Overtime

Events are scheduled for a fixed time frame.
-
If the event starts late, we are not responsible for lost time.
-
On-the-day overtime caused by client delays or requests will be billed at predetermine rate based on services required and deducted from the security deposit if unpaid.
5. Damage & Liability
-
The client is responsible for any damage to rented items, décor, or equipment caused by guests.
-
The 10% security deposit will be held until inspection is complete.
-
If damages exceed the deposit, the client will be liable for the full replacement or repair cost.
-
We are not responsible for accidents, injuries, or property damage during the event.
-
Liability is limited to the amount paid for our services, except in cases of gross negligence or willful misconduct.
6. Weather & Safety
-
For outdoor events, the client must arrange a backup venue.
-
If no backup is provided and weather makes setup impossible or unsafe, services will be deemed fulfilled and payments forfeited.

If the environment becomes unsafe (severe weather, disorderly conduct, hazards), we may pause or end services.
7. Force Majeure (Unforeseen Events)
We are not liable for cancellations, delays, or service interruptions caused by circumstances beyond our control (hurricanes, pandemics, strikes, government restrictions, natural disasters).

Payments will not be refunded, but at our discretion, we may credit a portion toward a future booking within 12 months.
8. Photography & Promotion

We may capture photos or videos of event setups for promotional use (décor and design only, not private guest moments).

If you prefer not to have images used, please notify us in writing before the event.

By booking, you grant us a media release to use décor and event setup photos for marketing unless you opt out in writing.
9. Conduct & Respect
-
We are committed to providing a professional and respectful service. Likewise, clients, guests, and attendees are expected to treat our staff, partners, and vendors with respect.
-
Rude, abusive, aggressive, or threatening behavior (verbal or physical) toward our staff, partners, or vendors will not be tolerated.

If such behavior occurs, we reserve the right to:

Pause or withdraw services immediately, without refund.
-
Remove staff and property from the event site.
-
Deduct damages or losses from the security deposit, if applicable.
-

Any property damage, disorderly conduct, or illegal activity by the client or their guests will also result in immediate termination of services without refund.
10. Staff Meals
-
For events lasting 6 hours or more, the client agrees to provide meals and non-alcoholic beverages for our staff, equivalent to what is provided to guests (e.g., vendor meals).

Meals must be served at a reasonable time to ensure staff can remain on site to manage the event without interruption.
-
If meals are not provided, the client will be charged a meal allowance of $15 per staff member, which will be invoiced or deducted from the security deposit.
Part B: Vendor Policies

Vendors (e.g., catering, DJs, decorators, entertainment) are independent contractors, not employees of our company.
-
We coordinate vendors but do not guarantee their timeliness, performance, technical equipment, or food quality.
-
Vendor recommendations are made in good faith. Clients are responsible for reviewing and signing vendor contracts.
-
Vendors have their own overtime fees and cancellation rules. If unpaid, vendors may end service at the scheduled time.

Food is prepared and served by outside caterers. We are not responsible for allergies, dietary restrictions, spoilage, or health claims related to food consumption.
-
Payments made directly to vendors are subject to their own policies.
11. Dispute Resolution
In the event of any dispute, both parties agree to first attempt mediation in Nassau, The Bahamas before pursuing legal action.
